Choose the first clinic

The first clinic should produce a useful answer for the group without carrying the hardest possible workflow.

  • Choose a clinic with a clear owner and stable opening hours.
  • Start with routine demand that staff can recognize and review.
  • Agree on the person who can stop, change or extend the pilot.
  • Record what the next clinic would need to prove separately.

Keep clinics local

Group ownership does not make every clinic identical. Each location keeps the settings that affect its callers and staff.

  • Each clinic keeps its own phone number and forwarding path.
  • Opening hours and closures stay clinic-specific.
  • Each clinic chooses the share and times of calls Vite Clinic receives.
  • Assistant voice, approved knowledge and safety rules can differ by clinic.
  • The clinic-software connection is configured and checked for each clinic.
  • Call history and usage remain scoped to the clinic where the call occurred.

Roll out in stages

Use the same rollout method at every clinic, while proving each local setup on its own.

  1. Confirm clinic fit, call types and a named local owner.
  2. Add approved hours, services, knowledge and human paths.
  3. Run browser tests with synthetic scenarios before live calls.
  4. After launch checks, route a limited time window or share of real calls.
  5. Review outcomes with clinic staff before increasing coverage or adding a clinic.

Set clear roles

Access follows explicit organization membership so ownership and support remain auditable.

The owner holds organization ownership and billing control.
An admin manages the organization and its clinics within the assigned role.
A member works in the organization workspace without owner billing control.
Read-only support requires explicit membership; all roles are organization-scoped, not per-clinic permissions.

Decide when to expand

Add coverage only when the current clinic has produced evidence the group trusts.

  • Routine calls follow the clinic’s approved information and rules.
  • Medical and sensitive calls reach the agreed human path.
  • The intended handoff and its failure path are visible to staff.
  • Privacy, retention and provider launch checks are approved for live use.
  • Clinic staff agree on the next call share or the next location to test.
